OUR BENEFITS:

· Job Type: Full-time, salaried employee

· $400 per month toward the premium of the Urbandale Chamber’s medical health plan or 50% of plan cost whichever is greater. This starts on the 1st of the month after hire.

· The Chamber will cover 100% of the Premium for dental and vision. This starts on the 1st of the month after hire.

· Fridays off Memorial Day to Labor Day. Staff will take turns to keep the office open, with each staff member working on average Four (4) Fridays during that period. The time off does not count toward PTO.

· 18 Days of PTO per year, with 5 days allowed for carry over.

· Office shut down between Christmas Eve and New Year’s Day.

POSITION DESCRIPTION

JOB OVERVIEW
We are seeking a dynamic and detail-oriented Event Coordinator to join our team. The ideal candidate will be responsible for planning, organizing, and executing a variety of events, ensuring that each event runs smoothly and meets our members' expectations. This role requires exceptional organizational skills, creativity, and the ability to manage multiple tasks simultaneously. The Event Coordinator will work closely with clients, vendors, and team members to deliver memorable experiences.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Responsibilities of this position include but are not limited to the following. Other duties may be required and assigned.

· Assures all work performed is done in accordance with OSHA safety standards and those established by the Urbandale Chamber of Commerce.

· Assures that all work performed meets Urbandale Chamber of Commerce standards for customer service, accuracy, quality and efficiency.

· Establish and maintain an effective working relationship with employees, vendors, clients, tenants, equity partners and the financing authority.

· Plan, coordinate and execute various events pertaining to the Urbandale Chamber of Commerce. This includes, but is not limited to our monthly events, (AM Exchange & BASH) additional events such as the annual women’s empowerment event, quarterly lunch and learns, monthly membership luncheons and annual events such as the annual golf outing held in partnership with the WDM and Clive Chamber, Educator Appreciation Reception, Sample Urbandale, a Celebration of Business. In addition, the event coordinator will assist the Vice President with implementation of the Central Iowa Business Conference. · Support staff member for Leadership Urbandale, a 10-month, monthly program that launches in September and ending with graduation in June.

· Assist in preparation of the annual budget for the programs and events the Event Coordinator is responsible for by working with the President for final approval before presenting it to the board.

· Meet both financial and attendance goals set by the Board of Directors.

· Create RFPs when needed for event location selection.

· Ability to use the database management system to provide reports as needed, maintain office records, set up appointments etc.

· Administrative duties as assigned to include but not limited to activities such as answering the phone, greeting members when they arrive, and setting up meeting space.

· Other duties as assigned.

MINIMUM QUALIFICATIONS:

· High School Diploma or GED

· Prefer College degree in Event Management

· Prefer demonstrated and successful experience in event planning from conception to completion of events

· Highly organized and capable of handling multiple priorities and deadlines

· Must have strong attention for detail

· Budgetary and fiscal experience from budget planning and development through monthly reporting and internal fiscal management systems

· Proven experience in group facilitation, small group mediation and problem solving

· Able to work well under pressure

· Effective communicator

· Ability to be self-sufficient, independent and resourceful

· Excellent customer service skills

· Ability to multi-task and work in a fast-paced environment and act quickly to resolve problems

· A high level of enthusiasm and interest that, in turn, motivates others

· Prefer Experience working with a volunteer driven organization

· Intermediate computer skills

· Active driver’s license, reliable transportation, good driving record and car insurance

PHYSICAL REQUIREMENTS:

· Sitting approximately 50 percent of the time

· Standing approximately 20 percent of the time

· Walking approximately 20 percent of the time

· Driving approximately 10 percent of the time

· Lift up to 50 pounds infrequently when moving event materials for event set up.
