Part Time Office Assistant
Reports To
Office Assistant will report to the Office Manager and the New Heights Counseling Resources, Inc. Owners.
Job Overview
Primary responsibility: Create a warm and welcoming atmosphere for both clients and clinicians. The Office Assistant will be the first point of contact for many of our clients and will welcome them to the counseling experience. This person will perform bookkeeping duties, develop working relationships with the staff, and understand work processes in the office which will enable each member of the team to perform their respective roles as seamlessly as possible.
Pay: $17 - $20 based on experience
Benefits: PTO after 90 day probation period
Responsibilities and Duties
The position will be for 20-25 hours per week
The Responsibilities of the Office Assistant fall under two main categories:
Office Support

Process the mail on a daily basis

Maintain office supplies and equipment

Greet clients and collect payments as needed

Assist Office Manager with credentialing with insurance companies in an effective and efficient manner

Prepare deposits and deliver them to the bank

Answer phone calls and follow up within appropriate timeframes
Accounts Receivable

Support Office Manager with bookkeeping duties such as sending statements, creating invoices, and posting payments from clients and insurance companies to QuickBooks and in clinician tracking spreadsheets

Assist therapy staff through aging reports, updating insurance information, and exploring denied claims.

Assist with submitting insurance billing for services on behalf of the clinicians
Qualifications
The qualified candidate will meet the following:

Minimum completed education of a High School Diploma or equivalent with Administrative Assistant Associates Degree preferred

One year office experience preferred with preference for medical office and familiarity with CPT codes/medical billing.

Bookkeeping experience such as use of Quickbooks preferred

Valid Driver’s License and reliable personal transportation

Ability to work independently and prioritize tasks with multiple priorities and the ability to maintain flexibility to reprioritize as needs require.

Strong written and verbal communication skills

Ability to communicate on behalf of the company with clients, referral sources, insurance payers, and the public

Ability to maintain confidentiality as required by HIPAA and the nature of a counseling practice

The physical ability to sit for extended periods of time

The physical ability to lift up to 50 lbs on an occasional basis
